Under UK data protection law, we must have a lawful reason for using personal information. We generally rely on:

  • Contract: When information is needed to take steps before entering into an agreement or to provide an agreed service.

  • Legitimate interests: To respond to business enquiries, operate and improve our business, protect our systems and conduct proportionate business-to-business marketing.

  • Legal obligation: When information must be retained or processed for tax, accounting or other legal requirements.

  • Consent: Where consent is required, including certain marketing communications and non-essential website cookies

  • Required information: Some information, including your identity, contact, service and billing details, may be necessary for us to respond to your enquiry, enter into or perform our agreement, or comply with legal and accounting requirements. Where we rely on consent, you may withdraw it at any time.

7. Client accounts and social media access

We use official platform access and permission systems wherever available. These may include Meta Business tools, Google Business Profile Manager and LinkedIn Page administrator access.

Clients should not send us personal passwords. Any access granted to us should be appropriate for the agreed service and can be removed by the client.

When we process personal information contained within a client’s social media accounts or supplied content solely on that client’s instructions, the client will normally remain the data controller and Social Made Simple UK will act as a data processor.

8. Sharing personal information

We do not sell personal information.

Information may be shared with trusted service providers where necessary to operate our business and deliver services, including:

  • Website and form-hosting providers such as Squarespace

  • Email and cloud-storage providers

We only share information that is reasonably necessary for the relevant purpose.

When using AI-assisted or content-planning tools, we avoid entering unnecessary personal or confidential information and review generated material before it is used.

9. International data transfers

Some service providers and social media platforms may process information outside the United Kingdom.

Where this happens, we take reasonable steps to ensure that appropriate protections recognised under UK data protection law are used. These may include UK adequacy regulations or approved contractual safeguards.

You can contact us at SocialMadeSimpleuk@gmail.com to request more information about the safeguards used for international transfers.

10. How long we keep information

We keep personal information only for as long as reasonably necessary.

Our usual retention periods are:

  • Client onboarding and service information: for the duration of the relationship and normally up to 12 months afterwards

  • Agreements, invoices, payment and tax records: normally six years

  • Client content and working files: normally deleted within 90 days after the service ends, unless continued retention has been agreed or is legally necessary

  • Marketing information: until you unsubscribe, object or withdraw consent

  • Account access: removed as soon as reasonably possible after the service ends

Information may be kept for longer where required to resolve a dispute, establish legal rights or comply with the law.
